Using Donation Station Reports for Gift Aid and GASDS Claims
Learn how to use Donation Station reports for Gift Aid and Gift Aid Small Donations Scheme (GASDS) claims, including which reports to use for Pro, Lite and Lite II devices.
When fundraising through a Donation Station, there are two different ways you may be able to claim additional income from HMRC:
- Standard Gift Aid
- Gift Aid Small Donations Scheme (GASDS)
The donation details required by HMRC differ, depending on which type of Gift Aid claim you are making.
Standard Gift Aid Claims
Where a donor has completed a Gift Aid declaration during their donation, their details will be available within your Gift Aid reports.
To prepare a standard Gift Aid claim:
- Download your Gift Aid report from the Portal.
- Review the donor details provided and check the time frame matches your timeframe for the claim
- Copy and Paste this information when preparing your Gift Aid submission to HMRC.
You can claim Gift Aid on eligible donations regardless of donation value, provided a valid declaration has been received.
The declaration on your Donation Station is a standard statement as required by HMRC. Should you wish to vary it please contact our Support Team.
Gift Aid Small Donations Scheme (GASDS)
GASDS allows eligible charities to claim a Gift Aid-style top-up on certain donations where no Gift Aid declaration was completed.
Unlike standard Gift Aid claims, donor names and addresses are not required.

Using Your Donation Station Reports
To identify potentially eligible GASDS donations:
- Download the Donation Report for the period you wish to claim.
- Open the report in Excel.
- Filter the report to show:
- Donations of £30 or less
- Donations where Gift Aid was not completed
- Review the remaining transactions against HMRC's GASDS eligibility criteria.
- Use these transactions when preparing your GASDS records and claim.
HMRC advises charities to keep records of:
- The donation amounts collected
- The dates donations were received
- The dates funds were paid into the charity's bank account
The Donation Report provides the transaction-level information needed to support this process.
Which Donation Station Report Should I Use?
The report you need depends on the type of Donation Station you use.
Donation Station Pro
Donation Station Pro devices can ask donors whether they would like to add Gift Aid and collect the full Gift Aid declaration.
For Pro devices:
- Use the Gift Aid Report for standard Gift Aid claims.
- Use the Donation Report to identify any non-Gift-Aided donations that may be eligible for GASDS.
Donation Station Lite and Lite II
Donation Station Lite and Lite II devices do not currently collect Gift Aid declarations from donors.
For Lite and Lite II devices:
- Standard Gift Aid claims cannot be made through Donation Station data, as no Gift Aid declaration is collected.
- The Donation Report can be used to identify donations that may be eligible for inclusion within a GASDS claim, subject to HMRC's rules.
